We collect only what we need to provide the service. We do not sell your personal data. We do not use your resumes or data to train AI models. Your content is processed by third-party AI providers only to serve your requests. You can delete your account and data at any time.
Shortlist AI LLC ("Shortlist AI," "we," "us," or "our") operates the website tryshortlistai.com and related services. We are based in Austin, Texas, USA. For any privacy-related questions, contact us at hello@tryshortlistai.com.
Account information: name, email address, and password when you create an account. Resume content: resume text, work history, skills, education, and other professional information you paste or upload. Job descriptions: job postings and descriptions you provide for resume tailoring and interview preparation. Interview responses: your answers during mock interviews. Payment information: billing details processed securely through Stripe (we do not store credit card numbers). Job application data: companies, roles, salaries, contacts, and notes you add to your job tracker.
Usage data: pages visited, features used, time spent, and general interaction patterns. Device information: browser type, operating system, and device type. Log data: IP address, access times, and referring URLs. Cookies: we use essential cookies for authentication and session management. We do not use advertising or tracking cookies.
We use your information to: provide, maintain, and improve the Service; process your resume through AI models to generate tailored content; generate mock interview questions and evaluate your responses; provide compensation analysis and negotiation recommendations; process payments and manage your subscription; send transactional emails (account confirmation, password reset, subscription updates); respond to your support requests; and analyze aggregate usage patterns to improve the Service.
This section explains how your data interacts with AI systems. We believe transparency about AI data handling is essential.
When you tailor a resume, run a mock interview, or use the compensation coach, your input (resume text, job descriptions, answers) is sent to third-party AI providers to generate results. We currently use Anthropic (Claude) for text generation and analysis, and OpenAI for text-to-speech voice synthesis.
We do not use your resumes, interview responses, or any personal content to train our own AI models. We do not sell your data to any third party. We do not use your data for advertising or marketing purposes. We do not share your data with other users.
Anthropic (Claude): Your data sent through the API is not used by Anthropic to train their models. See Anthropic's API data usage policy for details. OpenAI: Data sent through the API is not used by OpenAI to train their models by default. See OpenAI's API data usage policy for details. We select AI providers that commit to not training on API customer data.
Your AI-generated results (tailored resumes, interview feedback, compensation analysis) are stored in your account so you can access them later. You can delete this data at any time by deleting individual items or your entire account.
We share your information only in these limited circumstances:
Service providers: We use Supabase (database hosting), Vercel (website hosting), Stripe (payment processing), Anthropic (AI text generation), and OpenAI (AI voice synthesis). These providers process data on our behalf and are contractually bound to protect it. Legal requirements: We may disclose information if required by law, court order, or governmental regulation. Business transfers: If Shortlist AI is acquired or merged, your information may be transferred to the new entity. We will notify you of any such transfer. With your consent: We may share information when you explicitly authorize us to do so.
We implement appropriate technical and organizational measures to protect your personal information, including: encryption of data in transit (TLS/SSL) and at rest; secure authentication and session management through Supabase; Row Level Security (RLS) policies ensuring users can only access their own data; secure payment processing through Stripe (PCI-DSS compliant); and regular review of security practices. No method of transmission or storage is 100% secure. We cannot guarantee absolute security but are committed to protecting your data.
We retain your data for as long as your account is active or as needed to provide the Service. Specifically: account data is retained until you delete your account; resume, interview, and application data is retained until you delete it or close your account; payment records are retained as required by law (typically 7 years for tax purposes); and usage logs are retained for up to 90 days for security and debugging purposes.
Depending on your location, you may have the following rights:
Access: You can access your personal data through your account dashboard. Correction: You can update your personal information in your account settings. Deletion: You can delete your account and all associated data by contacting us at hello@tryshortlistai.com. We will process deletion requests within 30 days. Portability: You can export your resumes and data from the Service. Opt-out: You can opt out of marketing communications at any time.
If you are a California resident, you have additional rights under the California Consumer Privacy Act, including the right to know what personal information we collect, the right to delete your personal information, the right to opt out of the sale of your personal information (we do not sell personal information), and the right to non-discrimination for exercising your rights. If you are in the European Economic Area, our legal basis for processing your data is: contract performance (to provide the Service you signed up for), legitimate interests (to improve and secure the Service), and consent (for optional features like marketing emails). You have the right to lodge a complaint with your local data protection authority.
The Service is not directed to children under 18. We do not knowingly collect personal information from children. If we learn we have collected data from a child under 18, we will delete it promptly.
Your data may be processed in the United States regardless of your location. By using the Service, you consent to the transfer of your data to the United States. We ensure appropriate safeguards are in place for international transfers.
We use only essential cookies required for the Service to function, including authentication cookies to keep you logged in and session cookies for security. We do not use advertising, analytics, or tracking cookies. We do not participate in any ad networks or retargeting.
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice on the Service. Your continued use after changes constitutes acceptance of the updated policy.
